Use one agreed product reference
Connect the enquiry, specification and purchase order to the same product reference. Record the version or date of the agreed requirements.
Include dimensions, material information and the applicable coil format so the supply record can be reviewed as a whole.
Define identification and documents
List the roll, batch and packaging identification required by your operation. State which documents need to accompany the order.
Check the required language and destination information. Keep requests specific rather than assuming that every order uses the same documentation.
Plan receiving and storage
Define what the receiving team will check and how an observation will be recorded. Include packaging condition, labels and the order reference.
Identify the storage and handling arrangements used before the roll reaches the line. Follow the applicable product and equipment instructions.
Keep changes visible
If a specification, coil format or delivery requirement changes, identify the change in the order record. Share it with the teams affected.
A clear record helps frame later questions; it is not a substitute for evidence of quality or delivery performance. Discuss quantity, destination and timing with Newton alongside the technical brief.
